Project Overview

Shobha Masterbatch, a polymer and masterbatch manufacturer, was managing sales, production, inventory, and invoicing using fragmented tools and manual processes. This led to frequent delays, data inconsistencies across departments, limited visibility into business performance, and an inability to trace production batches through to final invoicing. They needed a centralized ERP platform purpose-built for the complexities of masterbatch manufacturing — where raw material composition, batch-level tracking, and cost-accurate quotations are critical to profitability.

The Challenge

Complex Batch-Wise Inventory Management
Masterbatch manufacturing involves multiple raw materials with varying compositions per product. Tracking inventory at the batch level — including raw material consumption, wastage, and finished goods — across production runs was extremely complex and error-prone with manual processes.
Quotation-to-Production Cost Alignment
Sales quotations were being created without real-time visibility into raw material costs and production overheads. This disconnect led to inaccurate pricing, margin erosion, and frequent back-and-forth between sales and production teams.
End-to-End Traceability Gap
There was no system to trace a finished product back to its production batch, raw material lots, and associated quality parameters — making it difficult to handle customer complaints, quality audits, and regulatory inquiries.
Cross-Department Data Duplication
Sales, production, and finance teams maintained separate records in spreadsheets and disconnected tools. The same data was entered multiple times across departments, causing inconsistencies, delays in reporting, and significant manual effort.

Batch-Level Inventory & Raw Material Tracking
Designed a granular inventory system that tracks raw materials at the lot level and finished goods at the batch level. Every production run automatically deducts raw materials, records wastage, and updates finished goods stock in real-time — giving procurement and production teams instant visibility into stock levels.

Integrated Quotation → Order → Production → Invoice Workflow
Built a seamless end-to-end workflow where sales quotations automatically factor in current raw material costs. Approved quotations convert to production orders, which trigger production planning, and completed production flows directly into dispatch and invoicing — eliminating manual handoffs between departments.

CRM Tightly Coupled with Production & Billing
Developed a CRM module deeply integrated with production and finance. Sales teams can track leads, manage customer relationships, view order history, and monitor payment status — all within the same platform. Customer-specific pricing, credit limits, and payment terms are enforced automatically across quotations and invoices.

Role-Based Admin Panels & Analytics
Created dedicated dashboards for sales, production, and finance teams with role-based access controls. Managers get a unified view of sales pipeline, production schedules, inventory levels, outstanding receivables, and profitability metrics — replacing weekly Excel reports with real-time business intelligence.
